Parent Volunteer Information
The Walden Wavez Swim Team and swim meets are run entirely by family participation. Each family is expected to participate during the swim season to ensure that the season progresses smoothly, meets take place in an orderly manner, and that no one is overly burdened.
Each family is required to pay a $550.00 Volunteer Fee at registration. When (6) “volunteer shifts” have been completed, the $550.00 deposit will be returned. The work needed to run each meet is divided into two shifts so that no one has to work the entire meet. Parents can sign up to volunteer on a first come basis and upon completing an assigned shift, an authorized Swim Team representative will record and sign off verifying that the session of work was done. Sign up for no more than 2 shifts per meet, per family. We need to be sure all of our meets are staffed, not just the first few meets of the season.
The following is a list of jobs that must be done to ensure a well-run season. Please read through the list and decide what you will be willing to perform.
Parent Volunteers are needed for the following jobs:
- Ready Bench
- Runners for time cards and waters
- Timers
- Scribes
- Data Entry – computer room
- Concessions
- Set Up Crew
- Tear Down Crew
- Grounds - (collect trash bags when full)
Parent Reps by age group – 2 openings per age group – must commit to all 6 meets. (Parent reps will get 3 shift credits for working in the mornings, and then must fill in the 3 additional shifts by working in other areas.)
All of the above listed duties can be done in shifts (no training necessary).
The following positions require that you must attend a class and pass a test for certification. We are always in need of officials. Please see a Board Member if you are interested in becoming certified for one of these positions. Training classes will be held in April.
- Referee (certified)
- Stroke & Turn Official (certified)
- Starter (certified)
- Clerk of Course (certified)
- Computer Room (certified)
In addition, in order to participate at invitational meets on behalf of Walden Wavez, the swimmer family must volunteer for at least one shift for each invitational meet they enter. Our team is usually responsible for timers and/or scribes during those meets, and we need to be sure our team is represented well. The shifts during these "extra" meets are above and beyond the 6 shifts during our normal season. We all do this for the kids. Let's help them have a successful Invitational experience.
Our goal is not to earn money from this, but to allow all parents to watch their kids swim and enjoy the meet. Hopefully, we will return all deposits received!
I have read and understand the volunteer expectations for the 2025 season. I understand that I will work 6 shifts, or that I will donate my volunteer deposit to the team if I cannot. I will sign up for no more than 2 shifts per meet per family, to spread out the volunteer force.
In order to allow for the convenience of Online Registration this year, all Volunteer deposits will be collected in person at Onsite Registration, Kickoff Meeting and at Rookie Camp. It must be paid in person, by check, in order for us to hold it for you. If you prefer to donate yours, or know that you will not complete 6 shifts of volunteer work during the season, please add it to your ONLINE REGISTRATION in the list of optional charges. Swimmers will not be allowed to enter the water until the deposit check is received by a Board Member. Thank you for your cooperation.
